Fall Sports Team Fundraising Ideas for Hockey, Ringette and Soccer Clubs

Registration is done, the schedule is out, and the team treasurer has just worked out what tournament fees, ice time, jerseys and travel are going to cost this season. Fall is when most Canadian sports teams run their fundraiser, and it is also when the calendar fills up fast. Here is how a chocolate bar campaign works for a team, what it realistically raises, and how far ahead you need to order.

Why teams fundraise in September and October

Fall is the only clean window in a sports season. Families have just paid registration, so they are already thinking about team costs, and the schedule has not yet filled with games, tournaments and playoffs. A campaign that launches in late September usually wraps up before the December tournament and holiday crunch, which puts the money in the account before the biggest expenses land.

What a team fundraiser usually pays for

Tournament entry fees, extra ice or field time, travel and hotels for out of town weekends, jerseys and warm up gear, equipment for the club loaner pool, coaching clinics and referee certification, and the end of season banquet. Because a chocolate campaign is inventory based rather than pledge based, the manager can work out the target in bars before anyone starts selling.

Why chocolate bars work better than most team fundraisers

A bar is an easy sell. Nobody has to sign up for anything, commit to a delivery months out, or care deeply about the cause. Players sell to family, neighbours, their parents' coworkers and people at the rink. Bars travel well in a hockey bag, they sell at tournaments and at the concession, and they are simple to price and count, which keeps the treasurer's job manageable.

How the program works

Pick a bar format and a wrapper design. We produce it in our CFIA licensed Calgary facility using Belgian chocolate in dark, milk or white. Minimums start at 200 bars, with smaller sample runs so the team can taste before committing. Bars arrive boxed and ready to hand out to players, and you only pay for what you order, so there is no unsold inventory obligation of the kind built into many catalogue programs.

Selling at tournaments and at the rink

Tournaments are the highest volume selling opportunity of the season. A box at the bench or a small table by the door moves product quickly, because parents from visiting teams are a captive audience with time between games. Teams that plan for this order extra and treat tournament weekends as their main sales channel rather than relying on door to door.

When to order for a fall campaign

Production runs three to four weeks from the day wrapper artwork is approved. For a late September or early October launch, artwork should be settled in the last week of August or the first week of September. If you are targeting a specific tournament, count back four weeks from the event and add a week of buffer to get bars distributed to players.

Which teams and clubs this works for

Minor hockey and ringette associations, soccer and football clubs, basketball, volleyball, swim, dance, gymnastics, lacrosse and curling teams, booster clubs and school athletic programs. It is the same program parent councils and school councils run, so if a school and its teams both want to fundraise in the same term, it is worth coordinating so families are not approached three times in six weeks.
